Coaching Confidentiality Policy

1. Introduction

The Men’s Coach is committed to providing a safe and supportive environment for men. We understand the importance of maintaining confidentiality and trust in coaching relationships.

This confidentiality policy outlines the guidelines and principles The Men’s Coach follows to ensure the privacy of its clients' personal and sensitive information.

 

Mental health and suicide are complex topics. The information provided should not replace advice you have received from a healthcare provider who is familiar with your individual circumstances or condition. The Men’s Coach provides general information on lifestyle factors found to be associated with mental health in men.

2. Confidentiality Assurance

 

All client information shared during coaching sessions is strictly confidential. This includes, but is not limited to, discussions, documents, exercises, and any other materials exchanged between client and coach. TheMensCoach.co.uk is committed to upholding the highest standards of professional ethics and maintaining the privacy of client information.

 

3. Consent for Communication

 

Client information will only be shared with third parties with explicit written consent from the client. 


This includes when collaborating with other healthcare professionals involved in the client's care. 


Prior to any such communication, we will obtain the client's permission and provide details about what information will be shared and with whom.

 

4. Limits to Confidentiality

 

There are specific situations where we may need to break confidentiality to ensure clients’ (or others’) safety and well-being. 


These situations include:

  • If there is a reasonable suspicion of harm to self or others. 
    In such cases, The Men’s Coach will terminate the session to ensure immediate protection and prevent further harm. 

  • If there is a legal requirement to disclose information (e.g., a court order).

  • If there is a need to consult with a supervisor or another professional for the purpose of providing the best possible assistance to the client.

  • Crimes and incidents that cause physical or psychological harm, damage to or loss of property, and are against the law

    If The Men’s Coach needs to disclose confidential information to any relevant authorities, we will make reasonable effort to inform the client before disclosing any information, except in situations where doing so would increase the risk of harm.
     

5. Recording Coaching Calls


As a standard policy, we do not record coaching calls. 


However, if clients wish to record their coaching sessions for personal reference, they are welcome to do so. 


If you wish to record your coaching call, please inform your coach in advance and gain their consent. This ensures a transparent and mutually respectful coaching relationship. 
 

6. Use of Anonymised Information

 

The Men’s Coach occasionally shares anonymised client experiences and success stories to inspire and educate others, or for marketing purposes. 
 

We highly value and respect the confidentiality of our clients, therefore all shared stories will be carefully stripped of any personally identifiable information, such as names, locations, or any other specifics that could potentially reveal the client's identity. 
 

Our priority is to maintain the trust and confidentiality of each individual we work with, ensuring their privacy is safeguarded at all times. If you have any concerns or reservations about the sharing of your success story, please let us know, and we will respect your wishes. 

 

7. Security Measures


We are committed to safeguarding client information from unauthorised access, disclosure, or use. 
 

We implement reasonable commercial security measures to protect electronic and physical records. 
 

It's important to note that no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee the absolute security of information shared electronically.
 

8. Record Retention

 

We retain client records for a period of five years after the conclusion of coaching sessions. 
 

After 5 years, all records will be destroyed. 
 

 

You are welcome to request access to these notes at any time during this period. 
We will require at least 5 working days to produce these records.

 

9. Client's Responsibility


Clients are encouraged to be mindful of the information they share during coaching sessions. While our coaches are dedicated to maintaining confidentiality, clients should refrain from sharing any information that they believe is highly sensitive, private, or legally protected.
 

10. Changes to the Confidentiality Policy


This policy may be updated to reflect changes in laws, regulations, or business practices.
