The Men’s Coach is dedicated to assisting businesses in promoting and supporting all employees by sharing information on male mental health, wellness and resilience.

The Men’s Coach recognises the importance of maintaining the privacy and confidentiality of sensitive information. This confidentiality policy outlines the measures we take to safeguard the confidentiality of the information we collect and handle.

Mental health and suicide are complex topics. Any information given should not replace advice from a healthcare provider who is familiar with a person’s individual circumstances or condition. The Men’s Coach provides general information on lifestyle factors found to be associated with mental health in men.
2. Confidentiality Commitment
The Men’s Coach considers all information shared by businesses to be highly confidential. This includes, but is not limited to, employee data, operational objectives, discussions, reports, and any other materials exchanged between The Men’s Coach and the client business. The Men’s Coach is committed to upholding the highest ethical standards in maintaining the confidentiality of all information.
3. Limits to Confidentiality
While confidentiality is a fundamental principle of our services, there are instances where we may occasionally need to share information to ensure the safety and well-being of individuals or fulfil legal requirements.
These situations include:

4. Use of Collaboration Stories and Logos
To encourage support for male mental health initiatives, The Men’s Coach may acknowledge our collaboration with your organisation without divulging any confidential information shared during our interactions.

The Men’s Coach is committed to respecting the privacy and competitiveness of your business. Therefore, any references made will be general in nature and will not provide competitors with any specific advantages or insider knowledge about your operations.
Our goal is to promote awareness and support for male mental health, while always maintaining the highest standards of confidentiality and discretion in our professional relationships.

The Men’s Coach may display the logos of Clients with whom it has had a professional engagement for talks, coaching, or workshops related to male staff's mental health, on The Men’s Coach website and in promotional materials.

5. Consent for Communication
Besides the circumstances set out in ‘Corporate Confidentiality Policy Addendum: Use of Company Logos’, The Men’s Coach will only share information with third parties, including the client business and relevant professionals, with explicit written consent. Before any such communication, we will obtain permission from the client business and provide details about the scope and purpose of the communication.
6. Media Pack
As part of our commitment to delivering comprehensive services, we provide a media pack tailored to enhance any in-person event's impact. This media pack includes the collection and organisation of anonymous attendee feedback, which will be presented in a structured format.
Additionally, we offer the creation and editing of two concise, social media-friendly videos to help clients effectively share event highlights and insights. This comprehensive media pack maximises the value and reach of clients’ mental health initiatives.
7. Recordings
Recording of talks and workshops is only permitted with explicit written permission from The Men's Coach. This helps protect our intellectual property and respects everyone's privacy.

When talks or workshops are recorded, the recordings may be shared with employees or social media for a maximum duration of three months, unless otherwise specified in written communication from The Men’s Coach. This time frame allows us to ensure that the information remains relevant and in line with the latest developments in mental health.
8. Data Security
We are committed to safeguarding client information from unauthorised access, disclosure, or use. We implement standard security measures to protect electronic and physical records. However, it's important to note that no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee the absolute security of information shared electronically.
9. Record Retention
The Men’s Coach retains client business records for five years following the conclusion of our services. After the five years, all records will be securely disposed of. You are welcome to request access to these notes at any time during this period. We will require at least 5 working days to produce these records.
10. Client Business Responsibilities
Client businesses are encouraged to share only the information that is necessary for the provision of services. While we prioritise confidentiality, client businesses should refrain from sharing sensitive, personal, or legally protected information that is not directly relevant to the services provided.
11. Policy Updates
This confidentiality policy may be updated periodically to reflect changes in laws, regulations, or business practices. Client businesses will be informed of any significant revisions to this policy.
